Application Lifecycle

Every application moves through a lifecycle from the moment it is submitted until a final decision is made. Fundament tracks this in two ways: the submission status (what the applicant has done) and the custom application status (what the team has decided).

Submission status

The submission status tracks where the applicant is in the process. It is set automatically by the system:

Submission statusMeaning
SubmittedThe applicant has submitted their application
Revision RequestedThe team has requested changes or activated another form part
RevisedThe applicant has submitted a revised version

Fundament computes the submission status automatically; it cannot be set by hand. In the applications list, activating a form part additionally shows up as Form Part Activated.

Custom application statuses

Custom application statuses are entirely controlled by the team and apply per form. Examples:

  • Under Review
  • Shortlisted
  • Approved
  • Rejected
  • On Hold

Owners define these application statuses under Forms → [Form name] → Application Status with a name, description, color, sort index and an optional checklist. An application status is chosen in the sidebar of the application detail view and applied with Save Application; every change creates a new revision and appears in the history.

Application status changes can also be triggered automatically by Automations.

Requesting a revision

A submitted application is fully locked in the portal. If the applicant needs to complete or correct something, the affected fields have to be reopened for them.

A revision request does not send an email on its own. The applicant will not know about it unless the team writes to them or has set up an automation with the Send Email action.

See Requesting Changes for the full walkthrough.
