Where is Fundament data stored?

All data (database, file storage, hosting, and monitoring) is stored on infrastructure located in Switzerland and operated by Fundament.

Does any data leave Switzerland?

No. Application data never leaves Switzerland. AI processing also runs via Infomaniak, a Swiss provider with data centers in Switzerland.

Fundament records AI runs in the portal (AI pre-fill and AI check) with Langfuse for quality assurance and troubleshooting. Langfuse runs on Fundament’s own server at Infomaniak in Switzerland. The records contain excerpts of the prompts, which includes text from the uploaded documents. The data does not leave Switzerland.

Who can see an applicant’s data?

Only the organization the applicant submitted to. Within that organization, only team members with the appropriate role (User, Member, or Owner) can access application data. Applicants cannot see other applicants’ submissions.

Can an applicant request deletion of their data?

Yes. Applicants contact the organization they submitted the application to. The team itself can only archive applications, not delete them; the organization forwards the deletion request to the Fundament team. The Fundament team is also the right contact for broader data-subject requests.

How is login secured?

Fundament uses magic link login with a one-time code (OTP): a 6-digit code is sent by email for every login. No passwords are stored. The code expires after a short time and can only be used once.

From when on is form data stored?

From the first edited field. The portal saves the draft continuously in the applicant’s account so they can continue later and on other devices. Until submission only the applicant sees the draft, plus any co-authors they invited themselves. The organization gets access on submission.

How long are drafts kept?

Until the applicant submits or deletes the draft. Drafts that are neither opened nor edited for 60 days are deleted automatically, uploaded files included. The applicant is reminded by email after 30 days and again 7 days before deletion.

What do invited co-authors see?

With the Co-authors module, an applicant can invite other people by email. Invitees see and edit the whole draft, files included; only the applicant can submit. The submitted application names the applicant as author; after submission, the co-authors appear in the Co-authors block of the applicant card, where owners and members can manage them. See Working on an application together.
