Working on an application together

This feature is part of the Co-authors module Module. Field locking, roles, limits and the team’s view are described there in detail.

With the Co-authors module, applicants can invite other people to fill in the draft of an application with them, such as colleagues from their association or an external advisor. The module is off by default and is enabled per organization by Fundament.

How it works

  1. The applicant opens a form and clicks Co-authors at the top right.
  2. They enter an email address. The invitee receives an email with a link that is valid for 7 days.
  3. Once accepted, the invitee sees and edits the same draft, attached files included. Changes appear for everyone as they happen; a field someone is editing is briefly locked for the others.
  4. Only the applicant can submit. They can remove co-authors at any time; co-authors can leave the application at any time.

Up to five co-authors are possible per application, open invitations included. Any email address can be invited, including one from the organization’s own team.

What the organization sees

  • Nothing before submission: drafts do not appear in the applications list, and neither do their co-authors.
  • After submission, the application as usual, with the applicant as its author. The applicant card additionally shows the Co-authors block; owners and members can invite people there, resend or withdraw invitations and remove co-authors.
  • If a revision is requested, co-authors can help; again only the applicant submits it.

Data protection

  • The draft lives in the applicant’s account on Fundament’s infrastructure in Switzerland.
  • The applicant decides whom to invite and can revoke access at any time. The invitee signs in with their own account.
  • If the applicant deletes the draft, it is gone for everyone involved, files included.
  • Drafts that are neither opened nor edited for 60 days are deleted automatically; see Data & Privacy.

Enabling the module

How to book the module and what happens to existing co-authors when it is switched off is described under Co-authors.
