System Email Templates
In addition to the freely usable email templates for applicant communication, Fundament has system email templates for emails it sends automatically, such as login links, confirmations to applicants or reminders about untouched drafts. The full list is under Emails.
What can be customized
For each system email, the following can be customized:
- Subject
- Body of the email
- Translations in German, French, Italian and English
Variables a system email requires (for example {link} and {otp} in the login emails or {application.title} in the confirmations) must stay in the customized text; Fundament points this out on saving.
Editing templates
Owners find the system email templates under Settings → Email, in the System Email Templates section. The list shows the status Default or Customized for each email. Edit opens the subject and body for changes, which are then saved.
If a template is not customized, Fundament uses its built-in default text. Reset deletes the custom text, after which the default text is sent again. The email address change email cannot be customized.
Attaching a summary PDF to the confirmation email
For each form, a PDF summary of the submitted application can optionally be attached to the confirmation email the applicant receives on submission. The PDF contains the submitted answers (file uploads are omitted) in the applicant’s language.
Enable it per form: open the form, go to its Settings tab, and turn on Send summary PDF with the confirmation email in the Summary PDF section. It is off by default, so nothing changes for forms where it is not enabled.
