Building Forms

The form builder is still under development and not yet available. Creating forms and all changes to form structure (fields, areas, form parts) are currently handled by the Fundament team. Please contact the Fundament team for new forms or changes to existing ones.

Forms are the foundation of every application in Fundament. They define what information applicants need to submit, and are structured into form parts, areas, and individual fields.

What Owners can manage themselves

Even without the form builder, Owners can manage the following settings directly in Fundament under Forms → [Form name]:

Tab: Form

The name and description of the form, plus the texts and links shown around the form on the portal: Introductory Text, Navigation Links, and Confirmation Text. Apply changes with Save Form. Details in Configuring the Portal.

Tab: Application Status

Manage custom application statuses for this form: label, description, color, sort index, and an optional checklist. The labels can be translated per language. When an application status is deleted, Fundament warns if it is still assigned to applications or used in automations.

Tab: Checklists

Define application status checklists (name and items), which can then be assigned to one or more application statuses in the Application Status tab.

Tab: Settings

  • Portal Visibility: controls whether and when the form appears on the portal.
    • Manual: show or hide the form with the Show form on portal switch
    • Scheduled Period: automatically show the form between Active from and Active until (including time of day). The status in the form list then changes automatically between Upcoming, Active, and Expired. If a period is set, it takes precedence over the manual switch.
  • Feature on the portal start page: the form is shown first and larger on the portal start page; the remaining forms follow under a separate heading.
  • Summary PDF: the confirmation email to the applicant includes a PDF summary of the submitted information; see System Email Templates.

What the Fundament team handles

The following changes need to be requested via the Fundament team:

  • Create a new form: structure, fields, areas, and form parts
  • Add, remove, or rename fields, including validation rules and translations
  • Adjust form parts
  • Set up internal fields; see Internal Fields
  • Hide fields from voters: individual fields or entire areas can be hidden from voters (the User role), e.g. confidential budget details or internal scoring criteria
  • AI instructions and check rules per field for the AI in the portal module

To request any of these, contact the Fundament team with a description of the required changes.

Hiding a form

To temporarily stop accepting applications, go to Forms → [Form name] → Settings and turn off Show form on portal (Manual mode). The form is hidden from the portal but all existing applications remain intact; applicants can still open the applications they submitted.
