Configuring the Portal
Owners configure what applicants see on the portal. Portal settings are found under Portal in the main navigation (visible to Owners only). The page is organized into tabs; each tab is saved independently. View portal opens the result for a check at any time.
| Tab | What it covers |
|---|---|
| Content | Title, welcome text, heading for other forms, footer text, and footer links |
| Branding | The portal’s accent color and optional text color, with a preview |
| Languages | Which languages applicants can choose in the portal |
| AI | Switching AI prefill on and off (only with the AI in the portal module) |
| Access | Publishing the portal and the preview password |
Content
Title and welcome text
The Welcome text is the first thing applicants read when they arrive on the portal. It is the place to explain what the organization does, which applications it accepts, and any deadlines or eligibility criteria.
Content is saved per language; switch the language at the top of the tab to edit each translation.
Heading for other forms
If a form is featured on the landing page (see below), the other forms are listed under their own heading, for example «Application forms for other foundations». If the field is left empty, the heading reads «Forms».
Footer text and footer links
The portal footer can hold a block of text (Footer text) and links (Footer links, each with a label and a URL), for example a link to the organization’s website, a privacy policy, or a contact email.
Branding
Set the portal’s Accent color (as a hex value, e.g. #1c7ed6). It is used for buttons, links, and highlights. If it is left empty, the default color applies.
Optionally, a separate Text color (optional) can be set for text, icons, and links; if it is left empty, Fundament derives it from the accent color. A Preview shows the effect in the light and the dark color scheme, together with the contrast ratio achieved. If a color is too light or the text color’s contrast is too low (below 4.5:1), a warning with a recommendation appears.
Languages
The portal can be made available in German, French, Italian, and English. The Languages tab controls which languages are offered; the translations are maintained in the Content tab. Applicants see a language switcher at the top of the portal.
Even if the team works in a single language, offering multiple portal languages makes it easier for applicants to understand the form.
Access
The Access tab controls the portal’s visibility:
- Portal published: when turned off, the portal is not publicly visible.
- Preview password: a shared password that still lets people preview an unpublished portal (Set password, Change password, Remove password).
Without a preview password, an unpublished portal is accessible to no one.
AI prefill
This feature is part of the AI in the portal module Module.
With the AI in the portal module, applicants can have forms filled in by AI from uploaded documents (Fill in with AI) and check their answers for gaps and contradictions before submitting with the AI check. AI check hints are guidance: the form can always be submitted.
Once the module is activated for the organization, the AI tab appears in the portal settings with the Enable AI prefill switch. Owners switch the feature on and off there themselves, for example to pause it during an open call. The daily limits (runs and cost) are managed by the Fundament team, as are the AI instructions and check rules per form.
Flow, supported documents, limits and data privacy are described in detail under AI in the portal.
Managing forms on the portal
Each form has its own portal settings under Forms → [Form]. On the Form tab:
- Description: appears on the form card on the portal start page
- Introductory Text: shown at the top of the form, for example for deadlines, criteria, or notes on the process
- Navigation Links: named links shown in the form’s left sidebar (guidelines, FAQ, external documents)
- Confirmation Text: the text shown after the application is submitted; without a custom text, the portal shows a generic thank-you
On the Settings tab:
- Portal Visibility: whether and when the form appears on the portal, either in Manual mode (switch Show form on portal) or as a Scheduled Period (Active from / Active until), see Building Forms
- Feature on the portal start page: the form comes first and larger; the other forms follow under the heading from the portal settings
- Summary PDF: whether the confirmation email includes a PDF summary of the submitted answers, see System Email Templates
