Applications
An application is created every time an applicant submits a form through the portal. Managing applications is the core day-to-day activity for most team members.
The Applications list
The main Applications view is a table showing all applications the organization has received. It can be:
- Filtered by application status, submission status, submission date, tags, folder, poll, budget, and more
- Sorted by any column
- Searched for specific applicants or keywords
- Exported as a table (Excel or CSV) or as a PDF
The Actions menu offers the batch operations for selected applications; Filter Presets and custom columns are described in Customizing List Views.
All-forms mode vs. a specific form
If the organization has more than one form, the applications list opens in all-forms mode: applications from every form are shown together, and a Form column identifies which form each application belongs to. In this mode, form-specific columns, filters, actions and the export are unavailable, for example:
- Application status filters
- Internal field columns
- Custom columns
- Creating a new application
Use the form selector in the top-right to pick a specific form and unlock full functionality. Organizations with a single form always open in full mode.
The application detail view
Click any application to open its detail view. On the left are the applicant’s answers to all fields of the form, with one tab per form part, plus General Files for files not tied to a specific field. At the top is the applicant card with contact details, Open contact (for Owners) and, with the Co-authors module, the Co-authors block. The sidebar contains:
- Application Status: the current custom application status (changes take effect with Save Application)
- Checklist: the items of the application status checklist for the current application status
- Tags: the application’s tags
- Additional fields: internal fields only the team sees
- Finances: approved amounts and payments (Finances module)
- History: every revision, application status change, comment and sent email
- Vote: the person’s own vote and, depending on the role, the results of the polls
Voters (User role) see only the vote, the internal fields released to them, and the finances (read-only).
